Dental clinic inventory management in Pakistan
A missing material can slow down a treatment day; too much untracked stock can tie up cash and create avoidable expiry waste. A simple, repeatable inventory routine helps a dental clinic stay prepared without making reception work harder.
Begin with the supplies that interrupt treatment
Do not start by trying to count every item in the clinic at once. First list the materials that can delay a patient visit when unavailable: gloves, anesthetic, restorative materials, endodontic consumables, impression materials and lab-related items. Give each item a clear name, unit and storage location so the reception, assistant and dentist are looking at the same record.
- One consistent item name instead of several informal names
- Unit of measure, such as box, pack, syringe or piece
- Storage location and the person responsible for receiving stock
Set a practical reorder level
A reorder level is the point at which the clinic should place an order, rather than waiting until the item is finished. Review your usual usage, supplier lead time and a small safety buffer. Fast-moving materials need a closer review than items used only for occasional procedures. The aim is a dependable working level, not a storeroom full of unused stock.
- Separate fast-moving consumables from occasional-use items
- Review suppliers and delivery time before setting the threshold
- Check low-stock items on a regular, assigned schedule
Track expiry dates and opened packs
Expiry management is part of daily patient care and cost control. When new stock arrives, place it behind the earlier-expiry stock so the earlier stock is used first. For items that are opened, follow the manufacturer instructions and your clinic's clinical policies. A simple review of upcoming expiries helps the team use suitable stock before it becomes waste.
- Record expiry dates for relevant clinical supplies
- Use earlier-expiry stock first where appropriate
- Keep damaged, expired or uncertain items out of normal circulation
Connect stock use to the clinic workflow
Inventory becomes more useful when it is reviewed alongside appointments and treatments. A busy day of root canals, crowns or surgical work can be planned with the necessary materials in view. The team can then prepare, record stock received and spot gaps before the patient is in the chair.
- Prepare procedure-specific supplies before the appointment day
- Review low stock before booking a high-material treatment session
- Use the same system for stock notes, treatment records and clinic operations
